You Just Hit a State's Sales Tax Threshold. Here's Your Next 30 Days.
Take a Breath — You Have Time
Crossing a state's economic nexus threshold doesn't mean you owed sales tax on yesterday's sale. Most states have grace periods between when you cross the threshold and when you need to start collecting. The clock typically starts from the moment you hit the threshold, and you have at least a few weeks (sometimes a month or more) before the actual collection obligation begins.
Here's your playbook.
Day 1–3: Confirm You've Crossed
Before taking action, verify that you've actually crossed the threshold:
-
Confirm the threshold: What's the specific state's threshold? Most are $100,000 in sales. Texas and California are $500,000. New York requires both $500,000 AND 100+ transactions. Mississippi and Alabama are $250,000.
-
Confirm the measurement period: Did you cross based on the prior year, the current year, or a rolling 12-month window? The answer varies by state. (Taxero tracks this for you automatically.)
-
Confirm what sales count: In most states, only your direct sales (Shopify, your own website) count. In CA, MI, NC, and WA, your marketplace sales (Amazon, Etsy) also count.
If you're using Taxero, you'll have received an alert before you hit the threshold and another when you cross it. The threshold rules are applied automatically.
Day 3–7: Know Your Grace Period
Each state has a different grace period:
- New Jersey: 30 calendar days after crossing
- Washington: Collection begins first of month at least 30 days after crossing
- Massachusetts: First of month, two months after crossing
- Texas: First day of 4th month after the month you crossed
- DC: No grace period — starts on next transaction
Most states fall somewhere in a 30-day window. Check your specific state's rule. Taxero calculates this date for you and shows you your collection start date.
Day 7–14: Register
Get registered in the state before your collection start date. Collecting tax without being registered is a problem — you need to be registered before you charge customers.
Registration checklist:
- ✅ State-specific registration portal (or SST SSTRS for SST member states)
- ✅ Your EIN (Federal Tax ID)
- ✅ Business name and address
- ✅ Expected sales volume in the state
- ✅ Type of products you sell
- ✅ Any registration fees (most states are free; AZ charges $12, CO charges $16, FL charges $5)
Most online registrations are processed within 1–5 business days.
If Taxero is handling your registration, this step happens automatically. We submit the registration and track confirmation.
Day 14–21: Configure Tax Collection
Once you're registered:
- Update your Shopify/WooCommerce settings to collect sales tax for the new state
- Set the correct rate — or use automatic rate calculation tied to delivery address
- Apply correct exemptions for your products (clothing exempt in PA, NJ, MN; food exempt in most states)
- Note your assigned filing frequency from the state — monthly, quarterly, or annual
Taxero handles rate calculation automatically. You don't need to manually configure rates.
Day 21–30: Set Your First Filing Date
Your first return will be due after your first filing period ends. If you were assigned quarterly filing and crossed the threshold in April, your first return might cover April–June and be due July 20th.
Mark the date. File on time. Filing late has penalties — typically 5%–10% per month in most states.
Taxero generates your returns automatically and reminds you of upcoming due dates.
After Day 30: Monitor Continuously
Once you've registered in one new state, stay on top of your thresholds in all states. Revenue growth that crossed one state's threshold may be approaching others. Taxero monitors all 45 states simultaneously so you're notified proactively, not reactively.
